Before you begin

The Manifests Interface


The Outstanding Manifests window also opens after the system is loaded to show recent manifests that have not been completed.

The main window will be detailed based on the four tabs located on the right side of the window – Manifest Details, Delivery Schedule, Deliveries for day, and Whiteboard.



Manifest Details Tab

The manifest details tab is the default tab and can be further detailed into sections – manifest list, manifest details, manifest items and the menu command buttons.


Manifest List Section

Features
Functionality
Select Delivery Date Selecting a date will automatically list all the manifests being shipped on the selected date.
Refresh Button When a new shipment date is selected, press this button to refresh the list with the newly selected date.
Today Button Inserts the current date into the Select Delivery Date box.
Select Site Select for which site you wish to view the delivery information.
Manifest Grid Displays the details of the manifests being shipped on the selected shipment date. Details include:
  • Manifest ID Number
  • Committed
  • Allocated Carrier Name
  • Customer Name (If blank, there are multiple customer deliveries on one manifest.
    PLEASE NOTE: Customer name is highlighted in red/maroon if the customer account is on hold.)
  • Truck Type
  • Dispatch Time
  • Delivery Status (Not Started, Picked Up and Complete)
  • Pick Up
  • Completed Time
  • Load Over
  • Estimated Journey Time
  • Pick up/Ex-works
  • Loaded Percentage
  • Produced Percentage
  • Load Utilisation Percentage
  • Height Utilisation Percentage
  • Last Delivery (If the manifest has multiple delivery drops, this will display the time the previous delivery was completed)
  • Allocated Loading Bay
  • Allocated Loading Cell



Manifest Details Tab

Features
Functionality
Carriers Name Shows the name of the selected carrier.
Build Button Opens the Freight Carriers window which allows you to change your preferred carrier for the selected manifest
Truck Type The carrier transport type selected for the manifest.
Load Over Checkbox Tick the checkbox if you want the goods to be prepared the day before for early delivery the following day.
Dispatch Time The time the carrier will have to leave for the destination.
Expected Arrival The expected date for long-haul deliveries.
Journey Time The estimated time it takes to arrive at destination.
Deadline The deadline type and the time the carrier must deliver the goods by.
Committed Checkbox Once the committed checkbox has been ticked, the manifest information will be uploaded to the Drivers Oova.
Not Started Checkbox Indicates that nothing has been done to the manifest.
Pickup Made Check Box Once marked, it indicates the manifest has been picked up and the load has left the factory and is on route to site.
Completed Check Box Indicates that the manifest has been completed and the items have either been delivered/picked up.
Tag Colour Checkboxes Select the tag colour checkboxes before printing the tags to allow easy identification of the products/schedules.
Notes Section Allows you to enter any notes regarding the manifest.

 

Schedule Items Tab

Functionality
Delivery Charge Dropdown Lists all delivery options for the manifest
Schedules on Manifest Grid Displays all the selected job schedules from the Add Schedules to Manifest grid
Group Deliveries by PO Number checkbox Will automatically group schedules with the same purchase order number into one delivery docket ID number
Create Deliveries for Run Button This will, allocate the schedules with a delivery docket and add them to the run items tab
Right-Click Menu; Selected schedules
Sync Delivery Addresses Opens the Sync Delivery Location window for synchronising job schedules’ delivery addresses
Display Address Opens Google Maps in a new browser displaying the selected schedule’s delivery address

 


Add to Manifest Display:

Functionality
Deliveries From/To Enter the date range to filter the schedules within the selected timeframe.
Enter Job Number or Schedule Number Filter schedules by the job number and/or the job and schedule number you wish to manifest
Add items grid Displays the factoried unmanifested schedules corresponding to the filtered options inputted.
Right-Click Menu; Selected schedules
Add Items Moves the selected job schedule/s from the Add Schedules to On Manifest tab into the ‘On Manifest’ grid
Display Address Opens Google maps and calculates the delivery route to the selected site.

Run Items Tab

Functionality
Add Items Button Open the same Delivery and Pick up Requests screen to add the non-delivery items on to the manifest
Run items grid Displays all the items on the manifest, including deliveries and non-delivery items (credits/stock transfers/purchase orders)
Move Up
Moves the selected run item on the Manifest up to change the delivery/pick up order
Move Down
Moves the selected run item on the Manifest down to change the delivery/pick up order
Right-Click Menu; Selected schedules
View Address on Map Opens Google maps to view the location of the selected address.
Remove Items Removes the selected run items from the Run Items grid


Menu Section

Manifest Button Press the button to view the options and select from;
  • New: (Create a new manifest within the manifest grid)
  • Delete: (Deletes the selected manifest from the manifest grid)
  • Search: (Search for schedule number on a manifest or a delivery docket number)
  • Printout: (Select to print the manifest documentation or preview on screen)

Delivery Dockets  Opens the Print Delivery Dockets window for printing delivery dockets
Printout  
Tools Press the button to view the options and select from;
  • Print Parameters: (Opens the Manifest System Print Parameters window which allows you to determine what printouts to print)
  • Freight Settings: (Opens the freight carriers’ component, which allows you to add or edit freight carriers within the system)
Outstandings Opens the Outstanding’s Manifests window which lists all manifests which have not been locked from previous dates
Undelivered Opens the ‘Undelivered Deliveries’ window which lists all schedules which have been marked as ‘Undelivered’ via the Oova App
Requests Opens the ‘Delivery / Pickup Requests’ window which lists all transfers, credits and purchase requests which require to be either delivered or collected.

Delivery Schedule Tab

The Delivery Schedule tab allows you to view all schedules that have been factoried within the system. The schedules shown will be for the following 7 days from the selected start date. If there are no deliveries scheduled for a particular date within that 7 days, the system will update and display the next upcoming date with deliveries. The schedules can also be further filtered according to the schedule status. You can also view the predicted weather for your selected branch location and the total tonnes estimated to be delivered/picked up.

Select Start Date Select the start date to view the factoried schedules for the following week
Order By Dropdown Select an order by category to determine how items the factoried schedules are listed
Refresh Button Updates the lists every time new selections or filters are set
Delivery Limits Button Opens the Elda Manifesting – Delivery Limits window which shows the daily limits in tonne for bar products
Auto Refresh Selecting the auto refresh tick box will automatically refresh delivery updates and the deliveries within the date columns will auto-scroll every 30 seconds.

 


Filtering Options Section

Filter by Job Checkbox Tick this checkbox to bring up a text field which you can input a select job number into, filtering the below schedules
Manifested Checkbox Tick this checkbox to show all schedules that have been manifested
Completed Checkbox Tick this checkbox to show all completed schedules. Completed schedules are also manifested schedules.
And Flag Select And if you wish to show all schedules which are manifested/completed and are also confirmed/to be confirmed/hold ready/to be advised
Or Flag Select Or if you wish to show all schedules which are manifested/completed or confirmed/to be confirmed/hold ready/to be advised
Confirmed Checkbox Tick this checkbox if you wish to include all schedules that have a delivery date status of confirmed
To be confirmed Checkbox Tick this checkbox if you wish to include all schedules that have a delivery date status of To Be Confirmed
Hold Ready Checkbox Tick this checkbox if you wish to include all schedules that have a delivery date status of Hold Ready
To be advised Checkbox Tick this checkbox if you wish to include all schedules that have a delivery date status of To Be Advised
Show All Checkbox Tick this checkbox to tick or un-tick all the filtering options listed

Schedule List Sections

Weather Forecast Opens the weather forecast window for the selected date.
Delivery Schedule List Shows the schedules factoried for the date selected. Schedules are detailed according to the colour key within the filter and listed in the square boxes.
The colour of the boxes depends on the status of the schedule delivery:
  • Aqua – Manifested Schedule/s
  • Purple – Completed Schedule/s
  • White – Factoried with a Confirmed delivery date
  • Pink - Factoried with a To Be Confirmed delivery date
  • Green - Factoried with a Hold Ready delivery date
  • Yellow -  Factoried with a To Be Advised delivery date.
  • The bars on the right side represents the production (P) and load (L) progress of the order.
  • Green – Production/Loading complete
  • Orange – In progress
  • Red – Not started
Delivery Schedule Total Buttons Opens the Deliveries for Day tab for the selected column’s date.


Deliveries for Day Tab

Date Dropdown Select the date that you wish to view the deliveries of
Refresh Button Press the button to view the deliveries of the selected date
Deliveries for Day Grid Lists all the manifests to be delivered for the selected day. Manifests are shown on the grid as either white, green or purple boxes. Double clicking the boxes will open the selected manifest in the Manifest Details tab.
Colour Key:
  • White – Not Started
  • Green – Picked up
  • Purple – Complete
Deliveries for day not on manifest Grid This grid lists all the job schedules which have not been manifested yet for the selected day.
Click on the >> button next to the grid header to expand the schedule details


Deliveries for Day Tab allows users to visualize delivery driver’s timeline for the specified day. The manifested deliveries will display in corresponding order to the dispatch time and estimated journey time which they are manifested for. Schedules which are not manifested for the selected day are listed on the right-hand side of the screen under the ‘Deliveries for day not on manifest’ grid.


Whiteboard Tab


The Whiteboard Tab allows users to view all manifests and stock transfers and for the selected date range. Users can also view the production and load statuses of each delivery. As well as specify specific loading bays and view and add internal notes.

Select Date Range Select the date range you wish to see the manifests of.
Auto Range Checkbox Tick this checkbox to auto-increment the date range.
Job Text Box Enter a specific job number to filter all manifests relating to the Job# entered.
Refresh Button Press this button to refresh the whiteboard grid.
Auto Refresh Checkbox Tick this checkbox to have the whiteboard grid automatically refresh once every 30 seconds.
Format Print Layout Button/Save Print Layout Button Press this button to adjust and save the whiteboard view for printing purposes.
Print Grid Button Press this button to print the whiteboard view according to the print layout settings.
Whiteboard Grid Lists all the manifests delivery dates between the selected date range. You can also view the manifest status, production and loading status, notes and priority.
