Delivery Date Change Surcharge System

Background

The delivery date change surcharge system allows a surcharge to be added to a delivery when the delivery date is changed after the customer has already been notified.

For example, a delivery is scheduled for Thursday 10 September. On Tuesday 8 September, a notification goes out advising the customer of the upcoming delivery. The date is then changed to Friday 11 September. Because a notification had already been sent, the user changing the date is prompted to decide whether a delivery date change surcharge should apply.

Before You Begin

Surcharges will only apply if your system administrator has enabled and configured the delivery date change surcharge system. 

Adding surcharges to deliveries depends on the delivery date change surcharge system being enabled and properly configured.

The system-level settings are:

  • The delivery date change surcharge system is enabled.
  • The sundry item code being set and active.
  • The default value for the sundry item being set.

Delivery notifications

Elda (Chrome) can be configured to send delivery notifications automatically, and users can also send them manually through Manifests and Bundle Tags. The system records which notifications were sent for each schedule, and it's this record that determines whether a surcharge is possible. 

 

This information exists mostly in the background however there are traces of the system, for example, in the schedule history where it is registered that a scheduled delivery confirmation was sent.

 

Delivery date changes and surcharges

When the delivery date change surcharge system is enabled (and properly configured), a delivery date change flows through the delivery date change surcharge system.

If the user has the correct permissions, they can decide on whether or not a delivery surcharge should apply and a the pop up below will appear. If the user does not have the permission, a surcharge will automatically be applied.

How surcharges are counted

A Production's Request can attract a surcharge, the schedules on the manifest are checked to see whether any delivery notifications went out for this manifest.

This manifest has had four delivery date changes. No notifications had been sent at the time of the first change, so no surcharge was added. Notifications had gone out before the second, third and fourth changes, and schedule 2742/0217 was nominated for a surcharge each time.

Because surcharges work at the delivery date change level, this produces three surcharges — one for each change where a schedule was nominated.

If the user has the correct permissions they are able to override the surcharge value.

Invoice

The delivery date change surcharge will appear as an invoice adjustment. As shown below and then as line item Confirmed Delivery Change Fee.
